Privacy Policy
Effective date:
Best At Training Software Inc, a Delaware corporation, operates BAT OS at app.bestattraining.com. In this policy, “BAT,” “we,” “us,” and “our” refer to Best At Training Software Inc.
This policy explains how we handle information through BAT OS, including its coaching, training, account, billing, communication, AI-assisted, and exercise-video functions.
Information we collect
Account and organization information. We process names, email addresses, account identifiers, gym or business names, and organization and coaching relationships. Sign-in credentials are handled through our authentication provider.
Coaching and training information. Coaches and athletes can provide goals, training availability, equipment information, benchmark results, stress or workload information, injury or limitation information, and coaching notes. We also process training plans, exercises, prescribed and completed sets, repetitions, loads, duration, perceived exertion, workout results, completion information, early-stop reasons, and free-text notes.
Injury information, limitations, goals, and workout notes can reveal sensitive information about a person’s physical or mental condition.
Contact and communication information. When you contact BAT or submit an inquiry, we process the information you provide, such as your name, email address, message, and stated goals. Contact submissions can also include referral and campaign information, IP address, browser information, and the referring page. Communication systems can process message content, delivery information, and communication preferences where supported.
AI interaction information. We process prompts, conversation history, generated responses, and coaching or training information assembled to provide AI-assisted features.
Billing information. Stripe collects payment details through its hosted checkout. BAT receives and stores customer and subscription identifiers, subscription status, organization metadata, and billing-event records. BAT’s application does not directly collect card numbers.
Technical information. We process authentication cookies, application requests, error and operational logs, and browser-stored interface preferences.
Where information comes from
Information comes from you, from a coach or organization entering information about an athlete or prospective client, and from the application and its service providers.
A coach may enter information about an athlete before that athlete personally enters it. We also derive information, such as profile facts, tags, and summaries, from submitted coaching and training information.
How we use information
We use information to establish accounts and coaching relationships; create, publish, display, and log training; maintain training history and coaching context; provide AI-assisted suggestions and summaries; administer subscriptions; respond to inquiries and provide follow-up communications; and operate, troubleshoot, and secure BAT OS.
What your coach can see
Information is available within the authorized coaching relationship. Your coach can view information used for coaching, including goals, injury or limitation information, training plans, workout results, history, and notes.
BAT OS does not currently offer an athlete-private-from-coach goal or note setting. Do not treat a training note or goal as a private journal entry hidden from your coach.
AI-assisted processing
BAT OS uses OpenAI for coach-facing AI suggestions and drafts. Requests include selected coaching context, which can contain coach-entered kickoff notes, goals, injury or limitation information, and other personal information.
The coach-facing assistant does not currently include saved athlete workout notes in its automatic coaching-context requests to OpenAI.
Separately, saving an athlete note triggers an automated note-processing function. Note content or information derived from it may be processed by an AI provider. This processing is separate from the coach-facing assistant.
AI suggestions support, rather than replace, coaching decisions. A coach reviews the resulting suggestion after the AI provider has processed the request. BAT OS does not currently offer a general setting that disables all AI processing.
Service providers and other recipients
Supabase provides application-data storage and authentication. Vercel hosts the application and processes application requests and operational logs. Stripe provides hosted checkout and subscription payment processing. OpenAI processes information used by AI-assisted features.
Our email-delivery integration uses Resend when messages are sent through that integration. Those messages provide Resend with recipient information and message content.
Exercise videos can also involve YouTube, Vimeo, and other video hosts, as described below.
BAT previously used Mailchimp and has discontinued that use. Discontinuation does not mean historical records have been deleted. BAT has not used Notion to process BAT data.
Exercise videos, cookies, and browser storage
BAT OS uses cookies for authentication and signed-in sessions. It also stores interface preferences and per-tab state in your browser. Some browser-stored information can remain after sign-out.
Exercise cards can load embedded YouTube or Vimeo players when the session page opens. Embedded players can also load when a coach opens movement details. Video-provider requests can therefore occur without a separate click on a play button. Some video elements request automatic playback.
Direct movement-video files load from the host identified by the video URL. That host may be different from BAT, YouTube, or Vimeo.
When these players or files load, the provider receives browser request information, which can include your IP address, browser or device information, and request headers. Providers may use cookies or similar technologies under their own privacy practices. What is transmitted also depends on browser and provider settings.
You can manage cookies and site storage through your browser. Restricting them may affect sign-in or other functionality.
Retention and your requests
BAT has not established fixed retention periods for every information category. Information can remain in application databases, operational records, backups, and provider systems.
Canceling a subscription does not automatically delete coaching records or copies held in other systems.
BAT OS does not currently provide a self-service data-export or account-deletion tool. It also does not automatically carry out a deletion across every related record and provider system. Coaches can edit some coaching information, but the app does not provide a general self-service mechanism for changing every stored profile fact.
For questions or requests concerning access, correction, deletion, or other privacy rights, email hello@bestattraining.com. Requests are reviewed manually. We may need to verify your identity and understand which records your request concerns. Do not include passwords, card numbers, or detailed health information in your initial email.
These descriptions of current product capabilities do not limit rights you have under applicable law.
Security
BAT uses authentication and access controls associated with accounts, organizations, and coaching relationships. No internet service or security measure eliminates every risk.
Protect your credentials and use care when accessing BAT OS on a shared device.
Age eligibility
The current pilot is offered to adults aged 18 or older. Coaches must not use the pilot to enter or manage information about athletes under 18.
The application does not currently verify age or provide parental-consent or parental-access features.
Changes to this policy
We will update this policy as our practices change and revise the effective date shown above. Where applicable law requires additional notice or consent, posting an updated policy does not replace those requirements.
